Privacy policy
MonNEQ collects little personal information. This page says what we collect, why we collect it, how long we keep it, where it is processed, and how you can see it, correct it or have it deleted.

Who collects your information
MonNEQ operates the monneq.ca website and the compliance services described on it. MonNEQ is the enterprise that collects your personal information and answers for it under the Act respecting the protection of personal information in the private sector (CQLR, c. P-39.1).

Any question, access request, correction request or complaint can go straight to that person. You do not need to use the site form to reach them.

What we collect
- Full report form
- Your name, email, phone number, your role (owner, accountant, lawyer or other) and the NEQ of the file you were viewing.
- Correspondence
- Emails, messages and attachments you send us, including whatever you send in to prepare a filing.
- Analytics
- Only if you accepted in the cookie bar: Google Analytics 4 and Microsoft Clarity collect page views, landing page, referrer, device type, and for Clarity a recording of mouse movement, scrolling and clicks. If you refuse, or until you answer, none of it is collected.
- Server logs
- IP address, date and time, page requested, user agent. These logs are kept for security and for diagnosing outages.
If you accept analytics, Clarity is configured to mask form field content, so what you type into the form does not appear in the session recordings.
The company pages published on this site are not part of that list. They describe corporations, not people, and they show no director name, no officer name and no full street address.

Why we collect it
- To answer your request and to call you back if you asked for a call.
- To deliver the service: file your annual declarations, submit your updates and monitor your deadlines.
- To write to you about your file: filing confirmation, an approaching deadline, a price change.
- To see how the site is used, page by page, and fix what breaks.
- To detect abuse and to meet our legal and tax obligations.
We do not sell or rent your information. We do not trade it with data brokers. If we wanted to use it for a purpose that is not on this list, we would ask you first.

Consent and communications
You give us your contact details by filling in the form. By submitting it, you agree that we may contact you by email, phone or text message about that request.
Service emails (filing confirmation, deadline, invoice) relate to your file. Commercial emails all carry an unsubscribe link that works the first time. To stop receiving paper mail: monneq.ca/retrait.
You can withdraw your consent at any time by writing to [email protected]. Withdrawal applies going forward. It does not undo a filing already submitted to the register in your name.

Cookies and analytics
No analytics cookie is set until you have accepted it. On your first visit a bar at the bottom of the page asks whether you accept Google Analytics 4 and Microsoft Clarity. Until you answer, and if you refuse, neither tool is loaded at all: their code is never downloaded and they set no cookie.
Neither is needed for the site to work. They tell us how many people run a check, which page they stop on, and what breaks. Section 8.1 of the Act therefore treats them as optional cookies, off by default.
The only cookie set without your agreement is the one that remembers your answer to the bar (monneq_consent, 6 months), so you are not asked again on every page.
You can change your mind at any time: the “Manage cookies” link at the bottom of every page reopens the bar. If you refuse after having accepted, the cookies those two tools already set are deleted and the page reloads without them. You can also write to [email protected] so we delete the measurements tied to your visit.
This page carries the date of its current version. If we add a tracking tool, that date changes and so does the list above.

Processing outside Quebec
Your information is processed by cloud providers established in the United States. It therefore leaves Quebec and Canada, and it falls under United States law, including access requests from American authorities in the cases that law provides for.

Before entrusting personal information to a provider located outside Quebec, we assess the protection it affords, as section 17 of the Act respecting the protection of personal information in the private sector requires, and the communication is governed by contract. The last two lines apply only if you accepted analytics. If you refused, there is no analytics data about you to keep.
After those periods the information is destroyed or anonymized. The 7-year period for client files matches Quebec tax record-keeping and civil prescription periods.

Your rights
- Access: get a copy of the personal information we hold about you.
- Correction: have inaccurate, incomplete or ambiguous information corrected.
- Withdrawal of consent: stop our use of your information going forward.
- Deletion and de-indexing: ask that dissemination of information about you cease and that search engines stop indexing it, on the conditions the Act sets out.
- Portability: receive the computerized information you provided to us in a structured, commonly used technological format.
Write to [email protected]. We answer within 30 days of receiving the request, as the Act requires. We may ask you to prove your identity before releasing a file, and we explain any refusal in writing along with the recourse open to you.

The A to F grade and public data
A corporation’s grade is calculated automatically from open register data: the date of the last annual declaration, the filing deadlines and the registration status. No person is graded, and the grade is not a decision made about you.
The calculation is described on every company page. If the result looks wrong, write to us: we check the calculation and the source record, then correct or remove the page.

Security and incidents
Traffic to the site runs over an encrypted connection. Access to client files is limited to the people who need it to carry out the mandate and is protected by two-factor authentication. Credentials and passwords you entrust to us are never stored in the public register mirror behind the site.
We keep a register of confidentiality incidents. If an incident presents a risk of serious injury, we promptly notify the Commission d’accès à l’information du Québec and the people concerned, and we state what they can do to reduce the risk.

Complaint to the Commission d’accès à l’information
If our answer does not satisfy you, you can file a complaint with the Commission d’accès à l’information du Québec, which oversees the Act and can review a refusal.

We update this page when the service changes. The effective date at the top tells you which version you are reading. A change to how we use your information is announced by email if we have your address.
